The Event and Partner Activation Manager plays a critical role in planning, organizing, and executing events and partnerships. Their responsibilities encompass a wide range of tasks, from developing hospitality packages, event strategies to managing partner relationships with external organizations, vendors, clients, or other stakeholders and ensuring successful execution. This role involves a combination of strategic thinking, project management, and relationship building.

JOB DESCRIPTION: 

Key Responsibilities:

1. Event Strategy and Planning:

  • Develop an annual activation plan with Team Partners and stakeholders.
  • Develop and implement comprehensive hospitality packages based on the organisations race program and high performance calendar.
  • Creating/building a bespoke team hospitality and event infrastructure.
  • Identify target audiences and create tailored event plans to reach them.
  • Select event formats, locations, and themes based on audience and goals.
  • Secure necessary permits, venues, and vendors for events.

2. Partner Activation:

  • Identify and cultivate relationships with existing partners and sponsors.
  • Collaborate with partners to develop hospitality and activation strategies that align with their objectives and agreed-upon benefits and deliverables.
  • Ensure partners receive maximum exposure and benefits from their involvement.

3. Event Coordination:

  • Manage event logistics, including scheduling, staffing, and equipment.
  • Coordinate with vendors, caterers, and other event-related service providers.
  • Manage event registration, ticketing, and guest lists.
  • Implement marketing and promotional strategies to drive event attendance.
  • Ensure events run smoothly and meet or exceed expectations.

4. Budget Management:

  • Develop and manage budgets for events and partner initiatives.
  • Track expenses and ensure cost-effective planning.
  • Report on budget performance to stakeholders.

5. On-Site Management:

  • Supervise and lead event staff, volunteers, and contractors during the event.
  • Address any on-site issues and troubleshoot as necessary.
  • Ensure the event runs smoothly, meeting set objectives and standards.

6. Post-Event Evaluation:

  • Conduct post-event evaluations and analysis to measure the event’s success.
  • Collect and analyze feedback from attendees, partners, and stakeholders.
  • Generate reports summarizing event outcomes and return on investment.
  • Track expenses and ensure cost-effective planning.
  • Report on budget performance to stakeholders.

7. Marketing and Promotion:

  • Collaborate with marketing and communication teams to develop event-related marketing materials.
  • Create promotional strategies to drive interest and attendance.
  • Monitor and analyze the effectiveness of marketing efforts and make adjustments as needed.

8. Compliance and Legal Matters:

  • Ensure compliance with legal and ethical standards in sponsorship agreements.
  • Address any contractual or legal issues that may arise.

Qualifications:

  • Bachelor’s degree in marketing, event management, hospitality business, or a related field.
  • Proven experience in event planning, and partner management.
  • Strong project management and organizational skills.
  • Excellent communication and negotiation skills.
  • Proficiency in event management software and tools.
  • Creative thinking and problem-solving abilities.
  • Budget management skills.
  • Demonstrated strong written and verbal communication skills in English. Proficiency in German, Italian, and French is considered advantageous for this role.
  • Ability to work under pressure and meet deadlines.
  • Creativity and innovation in developing unique sponsorship opportunities and events.
  • Passion for and interest and understanding of the sport of professional road cycling is recommended.

Additional Information:

This role’s remuneration is based on experience and is a full-time position.

This role preferably is based in Zurich, Switzerland.

This role may require frequent travel, irregular hours, and the ability to work under tight timelines to ensure the success of events and partnerships.

This role reports to the Partner and Operations Manager and the GM.

An Events and Partner Activation Manager plays a pivotal role in enhancing brand visibility, expanding the network, and increasing revenue through well-executed events and partnerships.
